Guidelines for presenters

Oral Presentations

Timing

Contributed papers will be strictly limited to a maximum of ten minutes presentation, followed by a five minute period for discussion and a five minute presenter changeover.

Presentation slides

To ensure a smooth and professional Conference experience for both delegates and speakers, we require that you provide your presentation slides prior to the Conference.

 

Venue screen size

The presentation screens in all rooms at the Perth Convention and Exhibition Centre are a 16:9 aspect ratio. To ensure PowerPoint presentations fill the entire screen, please alter the page setup as shown below prior to preparing presentations.

The below shows the difference visually between a 16:9 presentation on 16:9 screen and a 4:3 presentation on 16:9 screen. Presentations prepared in 4:3 aspect ratio will still be displayed on the screen unaltered. However, as shown in the second image below, they will not fill the entire screen:

Lightning Talks

Lightning talks enable the audience to review as many potentially exciting ideas as possible in a short space of time. They are not meant to provide the detail required for the audience to reproduce your work, they are there to inspire them to search out your poster.

Timing

Lightning talks are restricted to 3 minutes and time limits will be strictly enforced.

 

Please note that there can be only one presenter for the Lightning Talk.

 

Tips

The goal is to promote your research to a wider audience and stimulate thinking and discussion about the problem. Provide an overview that will inspire your audience to learn more about your work.

 

Provide contact information so people can follow up with you. Consider having your contact details either as a footnote on each slide or as the main focus of a slide. Remember too, you have the option to include your email address or hash tag with your abstract in the conference workbook so may just want to remind the audience of this.

 

Presentation slides

You may present your work with or without slides, but there is a 3 slide maximum, i.e. no more than 3 slides in 3 minutes. All slides must contain fixed–text only; no animations or videos permitted. Placing the title of your presentation (poster) somewhere on the first slide is a good idea.

 

Time is limited so focus on important results (or novel approaches) and less so on the details for achieving those results. Do not merely copy your poster. Each slide should have large, legible font and not too many lines.

Poster Presentations

Posters will be displayed in the exhibition hall on Thursday 17 November (from 1730), Friday 18 November and Saturday 19 November.

 

You will be able to hang your poster from 12.30pm on Thursday afternoon, and are required to remove it at the end of lunch on Saturday afternoon.

 

Poster presenters are reminded to remove all poster tubes and any packaging from the poster areas.  Any poster packaging left next to poster boards will be disposed of. Due to tight space restrictions, any posters that do not conform to the size requirements will not be displayed.

 

Poster Viewing Sessions

Dedicated poster viewing sessions will be at:

Friday 18 November 1455-1525

(presenters of odd numbered posters should be at their poster to answer questions)

 

Saturday 19 November 0900-0925

(presenters of even numbered posters should be at their poster to answer questions)

 

Poster presenters are encouraged to stand by their posters during the above times.

No other activities will take place in the exhibition hall during the dedicated poster viewing times.

Poster preparation information

The poster displays will provide a forum for informal discussion. The poster should be self-explanatory, so that you are free to supplement and discuss particular points raised by viewers. Remember that your material/illustrations will be viewed from distances of one metre or more. Lettering should be as large as possible and preferably in bold type.

 

POSTERBOARD SIZE

 

  • Each poster is limited in size to 841 millimetres wide x 1189 millimetres high (standard AO size)
  • Your poster must be portrait orientation. Please note, nothing larger than the above dimensions can be accommodated. If your poster exceeds the size limit, you will not be able to display it at the Conference.
  • Poster boards will be Velcro receptive boards. Velcro will be provided.

 

Poster PDF:

Please email a copy of your poster in PDF format to the Conference Secretariat by no later than Friday 4 November. As well as being available to delegates on the Conference app and website, this pdf will be used for the judging process. You are also requested to have a back-up of your poster PDF available while you are at the conference.

Please advise the Conference Secretariat if you do not wish for your poster to be available electronically for all delegates to view.
